1. What this policy covers

This policy explains how Profile Zone handles personal data for three kinds of people: business owners running a store (“Profiles”), the storefronts themselves (“Merchants”), and the shoppers who buy from or book with those storefronts (“Customers”).

2. Information we collect

Depending on how you use Profile Zone, we collect:

• Account information — name, email, phone number, and business details you provide when you sign up or set up your storefront.
• Customer data merchants collect — names, emails, phone numbers, and order/booking history that a merchant’s own customers provide through their storefront.
• Payment information — card and mobile money payments are processed by our payment gateway partners (such as Stripe and PawaPay); we don’t store full card numbers ourselves.
• Usage data — pages visited, features used, and device/browser information, used to keep the Service working and to improve it.
• Communications — messages sent through our email, SMS, and WhatsApp tools, and engagement data like opens and clicks.

3. How we use information

We use this information to operate and improve the Service, process payments and payouts, deliver the messages merchants send through our tools, provide customer support, detect and prevent fraud or abuse, and meet our legal obligations.

4. Who we share it with

We share data with the third parties needed to run the Service on your behalf: payment gateways (for processing payments and payouts), Twilio (for WhatsApp and SMS delivery), our email delivery provider, and cloud hosting/storage providers. We don’t sell personal data to advertisers.

5. Data retention

We keep account and transaction data for as long as your account is active and for a reasonable period afterward to meet legal, accounting, and fraud-prevention obligations. Raw analytics events are periodically rolled up into aggregate totals and the underlying detail is pruned.

6. Your choices and rights

You can:

• Update your account details at any time from your dashboard.
• Unsubscribe from a merchant’s email or SMS list using the link in any message they send you.
• Delete your Profile account at any time by contacting [email protected]— we’ll delete or anonymize your personal data except where we’re required to keep it (for example, financial records).
• As a merchant, deactivate or permanently delete your business from Settings at any time.

7. Cookies

We use cookies and similar technology to keep you signed in, remember your preferences, and understand how the Service is used. You can control cookies through your browser settings, though some features may not work correctly without them.

8. Security

We use industry-standard measures — encryption in transit, access controls, and secure hosting — to protect your data. No system is perfectly secure, and we encourage you to use a strong, unique password.

9. Children’s privacy

Profile Zone isn’t directed at children under 16, and we don’t knowingly collect personal data from them.

10. International data transfers

Profile Zone serves merchants and customers across multiple countries. Your data may be processed in a country other than your own; where required, we put appropriate safeguards in place for those transfers.

11. Changes to this policy

We may update this policy from time to time. Material changes will be communicated before they take effect, the same way as for our Terms of Service.
